Meeting Who Date Length Cost Status

Google Calendar

Connect a recurring event by name. Recordings from your Zoom room are matched to its calendar dates and times, so your personal room can serve several meetings. Overlapping or unmatched recordings wait for you to choose a Meetings card.

Dedicated Zoom room (optional)

For a dedicated Zoom room only. Personal rooms must use a calendar connection above.

Who can see this meeting

Ticking someone here also shares the meeting's Google Doc with them β€” next agenda, minutes and to-dos are all in it. The owner always keeps access.

Everyone in the room should be told this meeting is being recorded and transcribed. You can discard the recording at any point before it is processed.

πŸ’‘ Have everyone say their name at the start ("I'm Joseph…") β€” the minutes will then use real names instead of "Speaker 1 / Speaker 2".

Ready 00:00 0.0 MB

The recording uploads in the background while the meeting runs, so length isn't limited by your connection β€” a two-hour meeting is fine. Afterwards it is transcribed and analyzed into minutes, decisions and action items, which arrive on your desk (speaker labels are available for English meetings; other languages transcribe as one stream). Action items the meeting assigned to one of your agents by name start a task for that agent β€” anything it wants to send externally still comes to you for approval first.

Listening β€”

Everyone in the room should be told this meeting is being transcribed. Nothing is saved until you send it, and you can discard it at any point.

Your agent sits in as a participant, not as the minute-taker. By default it listens for what concerns its own work β€” jobs assigned to it, documents to update, decisions worth remembering β€” does what it can, and leaves you a short note. It will not write minutes or email anyone unless you ask below.

Ready 00:00 0 words

The recording is transcribed by Google Cloud Speech-to-Text, which separates speakers and labels them Speaker 1, Speaker 2 β€” by number, never by name. Your agent maps numbers to the people you listed above only where the conversation makes it obvious.

Transcription takes a few minutes after you send. You do not have to wait β€” the write-up appears in the agent's chat when it is ready. The audio never rests anywhere: it is staged privately only while transcription runs, then deleted the moment the transcript is ready.

Filing cabinet

Files this agent keeps and can open in any task. Attachments are one-off unless you chose to keep them. Removing a file here deletes it β€” the agent will no longer see it.

Triggered tasks

Standing instructions that run when something happens β€” a calendar change, a Zoom meeting starting or ending, a recording becoming ready. Unlike schedules, nothing runs (and nothing costs anything) until the event arrives.

Organization

One small Server-to-Server OAuth app in the Zoom Marketplace with two scopes: meeting:write:meeting:admin and cloud_recording:read:list_user_recordings:admin. No sign-ins, no review, five minutes. Agents can then schedule meetings (invitations still go through approvals) and read recordings β€” only ever the recordings of the person who gave the task. Full setup guide β†—

In the same Server-to-Server app, open Feature β†’ Event Subscriptions, add a subscription for meeting.started, meeting.ended and recording.completed, and paste the endpoint URL shown after saving here. Then copy the app's Secret Token into this field.

When ON, the meeting recorder keeps a compact numeric voiceprint (never the audio itself) for each person who introduces themselves in a recorded meeting, so later meetings can name them without another introduction. This is biometric data: tell your staff before turning it on, and delete anyone's profile below whenever they ask. Profiles are stored server-side only β€” no browser or agent can ever read them β€” and every new enrollment is announced on the minutes note, never silent.

Create a folder in your organization's shared drive, share it with your agent's Google account (Editor), then paste the folder URL here. Each meeting series will get its own sub-folder inside it automatically.

Words are matched case-insensitively during phone calls and replaced with the phonetic spelling before text-to-speech.

At the cap, automatic work stops for every agent β€” schedules, incoming email, meeting follow-ups. Chat and tasks started by hand still run, and each agent's own cap still applies. Admins get a desk note at 80% and at the cap.

What this agent has learned

agent-written

A job description is rarely complete on day one. As it works, this agent records the standing preferences and house rules it picks up from your chats β€” and follows them. Edit or clear anything here; it is saved with Save changes like the fields above.

Site logins

applies immediately

Sites this agent may sign into and read. Passwords go straight to the agent's vault β€” never to this dashboard, and never into its sandbox. How this works β†—

Phone

applies immediately

Give this agent a phone line. Assign a Twilio number from your organization's account, pick the voice callers hear, and optionally write the greeting that answers the call. Calls are answered by a fast conversational model; anything the caller asks the agent to do becomes a task after the call.

Connected services (MCP)

applies immediately

Give this agent a service's whole toolset β€” a ticketing system, a student system, anything that speaks MCP. The access token goes to the agent's vault and is attached to requests on the way out; it never reaches the agent's sandbox, so nothing it writes can read the token. Connect only what this agent's job needs. How this works β†—

Systems this agent can query (API)

applies immediately

For systems with a plain API rather than an MCP server β€” a student system, a lunch or transport database. The agent queries it from its sandbox. Read-only: it is told never to write, and the credential only works against this system's own address, so it is useless anywhere else. Give it a read-only key where you can. How this works β†—

Website this agent maintains (AWS S3)

applies immediately

Lets the agent edit and publish a static website kept in an S3 bucket β€” this is write access, so give it an IAM key that can only touch that one bucket, and turn on bucket versioning so any change can be rolled back. The agent never holds the key: it gets website tools, and our servers carry each one out. Granting checks the key against the bucket first. Setup guide & IAM policy β†—

Monthly spending cap

A ceiling on what this agent spends per calendar month. At the cap, its automatic work stops β€” schedules, incoming email, meeting follow-ups. You can still chat with it directly, so a cap never leaves you unable to reach your own agent. You get a note on your desk at 80% and again at the cap.
